Wedding AV Equipment Checklist: Bay Area Sound to Sparks

Sound, lighting, atmosphere, and timing for a Bay Area wedding — checked against Napa, Half Moon Bay, and SF City Hall venues.

Most Bay Area wedding AV problems are not about gear. They are about sizing, power, and a 10pm cutoff nobody mentioned at the walkthrough. After a couple hundred Bay Area weddings — Napa vineyards, Half Moon Bay bluffs, SF City Hall, Bently Reserve, Cavallo Point, Pier 27 — the failure modes repeat. This is the checklist we hand planners and couples four to eight weeks out, in the order it matters.

1. Sound system sizing by guest count

Sound is where DIY weddings break first. A Bluetooth speaker that worked at a backyard barbecue will not cover a 120-person tent on a Napa lawn. The math:

  • Up to 50 guests, indoors: a single 12" powered top on a stand, plus a wired or wireless handheld for toasts. One channel is enough.
  • 50–120 guests, indoors or covered: two 12" or 15" powered tops on stands, a small mixer, two wireless handhelds, and a lavalier for the officiant. Add a 15" or 18" subwoofer if there's real dancing.
  • 120–250 guests, large room or outdoor tent: dual 15" tops per side, dual 18" subs, and a four-channel mixer minimum. Mics: two handhelds, two lavs, plus a DI box for any laptop or live instrument feed. A line array makes more sense if the room is deeper than 80 feet.
  • 250+ or open-air on a Napa lawn: compact line array, dual subs, a real engineer at front-of-house. Outdoor sound carries to the neighbors, so an engineer who can ride the SPL meter pays for itself.

Mic count is where couples underestimate. Standard pull list: officiant lav, two handhelds for toasts (always two so guests don't fight over one), and a DJ feed. A string quartet wants four channels, not one shared overhead.

Live band and DJ means two front-of-house setups. Bands bring their own monitors but expect house mains. Tell the AV vendor early — patching a band into a DJ rig at 5pm is not a moment of joy.

2. Lighting: uplighting, dance floor wash, ceremony key, monogram gobo

Lighting is the highest ROI single line item on a wedding AV invoice. The room you walked through at 2pm in flat afternoon light is not the room your guests see at 8pm. Four layers do the work:

Uplighting. Wireless battery LED uplights placed every 8–10 feet along the walls. Twelve to sixteen units handle most ballroom-sized rooms; a tented Napa reception for 150 usually wants 20–24. Wireless battery (12–15 hour runtime, RGBWA+UV) means no cable runs across guest paths and no dependence on venue power. Dance floor wash. Two to four moving heads on truss totems or hung from rigging, color-mixing across the floor. This is the difference between "people are dancing" and "the dance floor is its own room." A 19-cell or 37-cell LED matrix-wash head saturates color cleanly without hot spots. Skip the cheap par-can-on-a-stand approach for receptions over 100 guests — it reads thin in photos.

Ceremony key light. Indoor ceremony or one that starts after sunset needs a soft front key. A profile or Fresnel at 50–70% cut by barn doors keeps the officiant's face out of shadow without spilling into guests. SF City Hall under the dome generally doesn't need this — the building does it. Barns, vineyards, and warehouses do.

Monogram gobo. A profile fixture with the couple's initials or a custom pattern, projected on the dance floor or a feature wall. Gobos are cheap to add and become a signature photo. Order the gobo two to three weeks out — custom glass is not a same-day item.

3. Atmosphere: cold sparks, low fog, bubble exit

This is where Bay Area weddings go from nice to memorable. Three effects, used surgically:

Cold sparks for first dance or grand entrance. Two 600W indoor units flanking the dance floor produce a 3–5 meter spark fountain — cool to the touch (under 200°F at exit), no residue. Most Bay Area hotel ballrooms — Ritz-Carlton Half Moon Bay, Four Seasons Embarcadero, Fairmont SF, Claremont Berkeley — allow indoor cold sparks with operator, written venue approval, 5-foot perimeter, and fire watch. SF City Hall does not allow any indoor pyro. Private estates and Napa wineries are usually a yes outdoors, but watch fire-season blackouts. Low fog or dry ice for the first dance. A 1500W ground-fog or a 3500W dry-ice unit produces dense, ankle-height fog that does not rise — the "dancing on a cloud" effect. Standard foggers set off smoke detectors. Low fog stays at the floor and reads beautifully on camera. Dry ice needs venue approval (CO2 in enclosed rooms). Bubble exit. A pair of large bubble machines at the ceremony exit or recessional path. Wedding-grade fluid, no residue on suits or dresses, works indoors and out. Cheaper than a sparkler send-off and reads well in golden hour photos at Half Moon Bay or Marin.

4. AV-adjacent: projector, screen, ceremony streaming

Two requests that have become standard:

Slideshow projector and screen. A 6,000–10,000 lumen projector with a 9- or 12-foot fast-fold screen handles dinner slideshows in most rooms. If the venue can't go dark — glass walls at 6pm, a tent during golden hour — bump to 12,000 lumens or use a small LED wall.

Ceremony streaming. One PTZ camera at the back of the aisle, a second wide camera, an audio feed straight off the lavalier, and an encoder pushing to YouTube or Zoom. Hybrid weddings are common now. Budget a tech to run the encoder — a stream that drops at "you may kiss the bride" is a forever memory of the wrong kind.

5. Bay Area venue notes that bite

Three things specific to this market that out-of-area vendors miss:

Outdoor power. Vineyard and estate venues often have a single 50A or 100A service feeding the catering tent, the kitchen, and your AV rig. Verify amperage at the walkthrough, not load-in. Bring a generator backup for sound — a tripped breaker mid-toast is unrecoverable. Quiet inverter generators (under 65 dBA at 23 feet) are required by most venues; construction-site units are not.

Sprinkler proximity for indoor SFX. Most Bay Area hotel ballrooms have ceiling sprinklers at 8–10 feet. Cold sparks throw 3–5 meters up. Keep 5-foot vertical clearance from sprinkler heads — venue engineers enforce this and will pull the permit if staging is off. Low fog stays low and does not trigger sprinklers; general haze might if ceiling clearance is under 10 feet.

Noise ordinances. Outdoor Napa ceremonies and receptions face strict cutoffs: 10pm hard stop, and some venues enforce 95 dBA peaks at the property line. Your engineer needs to tune for that limit during soundcheck, not wing it after the first complaint. Hiring an engineer who knows the venue solves this — a first-timer measuring SPL at the tent center instead of the property line is going to get you shut down.

6. SF City Hall AV is its own category

SF City Hall is visually stunning, acoustically live, and operationally restricted. No pyrotechnics (cold spark, sparklers, anything that could be mistaken for fire). Ceremony streaming is allowed but requires a separate Parks permit and liability insurance naming the city. Ceremony sound is optional if the acoustics work — under the rotunda, a lav mic helps the vows carry, but handheld can echo badly. Reception sound follows standard hotel ballroom sizing. Cost ranges, Bay Area market

Rough AV cost brackets, Bay Area 2025-2026 season:

  • Ceremony sound only (50–80 guests): $500–$900 (includes two wireless mics, one powered speaker, one tech for setup and strike).
  • Ceremony + reception, small (80–120 guests): $1,800–$3,200 (sound, uplighting, DJ feed, one tech to hand off to the DJ).
  • Full reception with lighting and SFX (120–200 guests): $4,500–$8,000 (sound, uplighting, dance floor wash, cold sparks or low fog, two techs).
  • Large reception or multi-space (200+ guests, band + DJ): $10,000–$18,000+ (line array, full lighting rig, streaming, dedicated LD and FOH engineer).

These are turn-key packages: gear, delivery, setup, tech support, teardown. A-la-carte (you pick up, set up, and run it yourself) saves 30–40% but puts troubleshooting on you. Most couples who try DIY wedding AV call us mid-crisis. Don't be that couple.

Timeline: when to book

Peak Bay Area wedding season is May through October, with Saturdays booking 8–12 months out. AV vendors book later than venues but earlier than you think. Four to eight weeks is the sweet spot for most standard packages. Cold sparks and streaming need six weeks minimum because of permit and labor coordination. Last-minute (under 14 days) is possible for small ceremonies but expect limited gear selection and a rush fee.

FAQ

Do we need an on-site AV tech or can the DJ handle it?

For sound-only setups (ceremony or cocktail hour), a DJ can usually manage. For lighting, SFX, or streaming, you need a dedicated AV tech. A DJ's job is music transitions, not troubleshooting a lavalier dropout or resetting a cold spark cue. Budget $600–$1,200 for a tech depending on event duration.

Can we use the venue's built-in AV?

Some hotel ballrooms and event spaces have in-house sound systems, but they're designed for spoken-word conferences, not wedding receptions. The sound quality is usually thin, the wireless mics are aging Shure SM58s on VHF (prone to interference), and the lighting is fluorescent overheads on dimmers. For a wedding, bring your own or hire the venue's preferred AV partner who knows the room.

How many uplights do we actually need?

One uplight every 8–10 feet of wall perimeter. A 40×60-foot ballroom has roughly 200 feet of perimeter, so 20–25 uplights. A smaller 30×40-foot room needs 12–16. Fewer than this and the coverage looks patchy. More is fine if the room has columns or architectural features to highlight.

What's the difference between cold sparks and sparklers?

Cold sparks are electric machines producing titanium sparks at controlled height and duration. They're reusable, don't require guests to hold anything, and are allowed indoors at most venues (with permit). Sparklers are handheld pyrotechnics that guests light and hold — they produce real heat, can burn clothing, and are banned indoors at almost all Bay Area venues. For a send-off, cold spark machines flanking an aisle are safer and more photogenic.

Do we need a generator for an outdoor wedding?

If the venue has adequate electrical service (100A or more dedicated to the AV and catering), no. If the venue is a field, a barn with one 20A circuit, or a beach, yes. A 5,000W inverter generator handles a small ceremony sound system. A 10,000W or larger unit covers a full reception with lights and SFX. Rent from the AV vendor so fuel, noise compliance, and load testing are handled.

Can we project onto a building or natural surface instead of renting a screen?

Projecting onto a white tent ceiling or a smooth building wall works if the surface is clean, flat, and white or light gray. Brick, wood, or colored surfaces kill brightness and contrast. For serious slideshows or streaming display, rent a proper screen or LED wall. The photos will thank you.
