Stanford GSB, Computer History Museum, Hangar One: what livestream video, IFB audio, and 4K-ready lighting look like for 200-500 person tech keynotes.

The bar for a South Bay tech conference is not the same as a hotel ballroom rubber-chicken event. Every keynote gets clipped and re-shared on LinkedIn within 48 hours; every panel lands on YouTube; every all-hands streams to Zoom. The floor is not "the room can hear you" — it's "the recording looks good enough for marketing to post." Here's the spec sheet for a 200-500 person event at Stanford, the Computer History Museum, Hangar One, MVCPA, or a Palo Alto / Mountain View / Santa Clara campus.

The South Bay tech-event bar

Four things separate a tech-conference package from a generic corporate rental:

  • Livestream-quality video is the floor, not an upsell. The clip will be edited, captioned, and re-shared, so multi-camera, broadcast-tier switcher, and a clean program feed are required even when nothing goes live. Single-camera GoPro on the founder's keynote is a marketing problem the next morning.
  • Branded LED walls or projection are expected. The audience knows what a TED stage looks like; pipe-and-drape with a 1080p projector reads as low-effort. Daylit room, LED; blackout room, projection.
  • Audio must be IFB-capable for moderated panels. Moderators talking to remote panelists, hosts hearing "wrap in 30" — IFB (interruptible foldback) is the difference between a panel that flows and one where the moderator misses every cue. Most generic vendors skip IFB.
  • Lighting must hold up to 4K under broadcast scrutiny. Skin tone depends on CRI 90+, color temperature matched to the LED wall and any daylight (4000K-5000K), and flicker-free drivers. Cheap LED pars flicker on slow-mo and shift colors on white shirts.

Sound: line array, IFB, freq coordination

Line array vs point-source. 300+ seats with a long throw, small-format line arrays hung left and right deliver consistent SPL from row 1 to row 30 without blasting the front. Shorter rooms — CEMEX Auditorium-scale, MVCPA SecondStage, most Stanford classrooms — point-source mains on stick stands are cleaner and don't compete with a branded LED wall. Rule of thumb: longest seat 50+ feet, line array; under 50 feet, point-source.

Mic kit for a moderated panel. Four lavalier transmitters (DPA 4060 or Sanken COS-11 on Shure or Sennheiser body packs), two handhelds for audience Q&A, an IFB beltpack for the moderator, and a confidence audio pipe so the moderator hears remote panelists without feedback.

Freq coordination is non-trivial in Silicon Valley. The South Bay has one of the densest RF environments in the country. We scan at load-in with a spectrum analyzer, coordinate channels across all systems, and reserve a clean slot per beltpack. "Reuse last event's frequencies" fails roughly 30% of the time at Stanford, the Computer History Museum, and Levi's Stadium spaces.

Audience Q&A. Two roving handhelds with runners is the floor. For 400+ seat rooms or hybrid events, a Catchbox throwable or a fixed aisle stand at row 8 / 16 makes audience-question audio usable in the recording.

Video: confidence monitor, multi-cam, LED vs projection

Confidence monitor downstage center. Non-negotiable. A 32 or 43-inch low-profile monitor at the front of the stage facing the speaker, mirroring the deck plus a countdown timer. Senior execs blank without one.

Multi-camera switcher. Three-camera default: wide locked on the stage, tight on the speaker (PTZ at the back of the room or manned on sticks), and a side angle for cutaways. The switcher (Blackmagic ATEM Constellation, Roland V-160HD) outputs a clean program feed plus a separate ISO record per camera so the editor has every angle in post.

Live broadcast vs recording-only. Going live means a dedicated streaming encoder (Teradek, Pearl Mini) on hardwired internet — never venue Wi-Fi for upstream. Recording-only still needs ISO record per camera plus program feed backed up to two SD cards plus an SSD. Two failures away from losing the recording.

LED wall vs projection. LED wins in daylit rooms (Stanford GSB Investors Common, the Computer History Museum's Grand Hall, Hangar One), spaces over 50 feet wide, and any time you want a deeper black for branded backgrounds. 16ft x 9ft at 2.6mm pitch is the standard tech-keynote spec; 24ft x 13.5ft for a 500-seat room. Projection still wins in controlled blackout rooms (MVCPA MainStage, hotel ballrooms with proper drapes) and for traditional 16:9 slides. Aspect ratio. Tech keynotes have stopped being 16:9. Founders run 32:9 or 21:9 decks for branded video walls; companies do split-screen with stage-camera left and slides right. Nail the aspect in pre-pro — a 16:9 deck on a 21:9 wall means letterboxing or chopped logos on every slide.

Lighting: front wash, gobos, profile fixtures

Front wash for camera. Two to four high-CRI LED Fresnels or profiles, 100W-300W COB, CRI 90+, 4000K-4500K, flicker-free DMX drivers. Even, color-accurate light on the speaker's face. Cheap RGBW pars don't pass.

Branded gobo. A profile fixture (Leko-style, 100W-300W LED with framing shutters) firing a custom metal or glass gobo with the company logo onto a side wall, the floor, or a stretched scrim. Profile fixtures for panel headshots. A four-person panel needs four pinpoints, one per chair, framed with shutters so light lands on head and shoulders without spill. The difference between a press-conference look and a recorded-podcast look.

Cyc + subtle haze. Wash bars or LED battens on a stretched cyc, programmed to brand colors, lift the room without competing with the LED wall. A touch of water-based haze gives beams shape and the camera depth. Coordinate with venue facilities a week ahead — fire panels typically need test mode. Top South Bay venue patterns

Stanford GSB Knight Management Center (Palo Alto). CEMEX Auditorium and Investors Common are the most-requested rooms. House AV handles basic playback; for livestream, multi-cam, branded LED, or anything beyond podium-mic-and-projector, we bring our own kit and integrate at the patch point. Rigging is restricted; walls go on ground-stack truss.

Computer History Museum (Mountain View). Grand Hall is the favorite for 400-1200 person tech events — 12,000 sq ft on the second floor with high ceilings. Easy loading dock, free parking, shoots well on camera. Daylight means LED over projection; everything ground-supported.

Hangar One (Moffett Federal Airfield). Restoration completed late 2025. Eight acres, 350,000 sq ft — audio and lighting both scale up significantly. Small-format line arrays don't cover; you need a real PA. Branded events here are spectacular but require 2-3x the lighting load. Access is restricted; allow lead time for crew clearance.

Mountain View Center for the Performing Arts. MainStage is a 600-seat theater with three lifts, movable splay walls, and a variable proscenium. House lighting and audio are theatrical-grade; we supplement with broadcast-camera lighting and our multi-cam package. SecondStage at 200 seats is right-sized for small developer conferences.

Levi's Stadium (Santa Clara). The 49ers Lounge, United Club, and East Field Club run 200-1000 person corporate events with premium aesthetics and clear sightlines. The challenge is RF: house wireless and stadium-wide systems run hot. Other regulars: Tied House Mountain View, the Tech Interactive, and major Palo Alto / Mountain View / Santa Clara campus auditoriums (Google, Meta, NVIDIA, LinkedIn — campus rules vary).

Tech crew: the four roles you need

  • A1 (audio engineer) at FOH — mics, IFB, program audio, live mix, freq coordination.
  • V1 (video engineer / TD) on the multi-cam switcher, calling cuts, owning program record and live feed.
  • Lighting op running cues — speaker spotlight, brand washes, panel cross-fades, programmed pre-show.
  • Livestream tech if going live, dedicated to encoder, uplink, and remote-feed monitoring. Recording-only, the V1 covers it.

Pre-event tech rehearsal. Standard ask is 4-8 hours of stage time the day before — speakers walk the deck, panelists rehearse the IFB cue, LED gets calibrated, lighting cues get programmed against the run-of-show. Day-of, a stage manager calls cues over headset, manages speaker handoffs, and keeps the show on time.

What's the typical AV budget for a 300-person South Bay tech keynote?

For a one-day, 300-attendee keynote with multi-camera recording, branded LED wall, IFB audio, broadcast lighting, and a four-person crew, expect $25K-$45K depending on venue, LED wall size, and livestream. Add 15-25% for hybrid plus an extra rehearsal day.

Do we need a livestream feed if we're just recording for internal sharing?

No live encoder needed if the deliverable is a recording, but you still want multi-camera ISO records plus a switched program feed to two storage destinations. Single-camera tripod is the most common "we'll fix it in post" mistake — there's nothing to fix when the founder's wide is the only angle.

Can we use the venue's house AV at Stanford GSB or the Computer History Museum?

House systems handle podium mic, slide projection, and basic playback. They do not handle multi-cam switching, broadcast lighting, IFB audio, branded LED walls, or livestreaming. We integrate at the analog or SDI patch point and run our crew alongside the venue's tech.

How early should we book AV for a tech event in Palo Alto or Mountain View?

Six to ten weeks for a standard 200-500 person event. Twelve for a peak week (mid-September product launches, Q4 holiday, May graduation), a high-demand venue, or custom LED wall sizing.

What's IFB and why does our moderator need it?

IFB is "interruptible foldback" — a wireless earpiece feed to the moderator from the producer at the back of the room, so the producer can cue "wrap in 30" or "next question to Sarah" without the audience hearing. For panels with remote panelists or live Q&A, IFB separates a polished moderator from one flying blind.
