Why LED Screens Are Often Chosen Over Projectors for Bay Area Events

An LED video wall is often the better choice than a projector when a room can't be darkened. A projected image loses contrast when daylight or house lights fall on the screen; a suitably bright LED wall produces its own light, so it is less affected. That is why LED walls are a common choice for corporate events, concerts, weddings and trade shows in lit rooms.

An LED wall makes its own light instead of bouncing projected light off a screen, so a panel with enough brightness for the room can keep content legible with the house lights up or daylight coming in. How well it does depends on the panel's brightness and contrast, the ambient light and the content, so confirm the specs for your venue. And because LED walls are self-lit (there is no projector beam to block), a speaker walking in front of the wall doesn't cast a shadow on the image.

There's a practical upside too: LED walls don't need throw distance. A projector needs open space between the lens and the screen, which eats into your floor plan. An LED wall sits flat against a stage or truss, giving you back that space for seating, staging, or décor.

At Venegeest, we've set up LED walls at the Hyatt Regency San Francisco Downtown SOMA (3m × 10m), the Grand Hyatt San Francisco (4m × 12m) and across three venues at the Santa Clara Convention Center. Delivery, assembly, calibration and an on-site technician are quoted with the rental. For rental details and quotes, visit our LED screen rental page.

Our LED Screen and Video Wall Options

Venegeest rents these display types:

  • P1.9–P3.9 LED Rental Screen: configurable video walls from 12 m² to 48 m². Finer pitch (P1.9) suits close viewing at conferences; coarser pitch (P3.9) suits stages where the audience sits farther back.
  • Foldable LED Ad Screens: portable screens on casters, 2 m² to 12 m², for trade show booths, pop-up retail activations, and lobby signage.
  • 43" to 120" LED TVs: LED TV Displays from 43-inch screens for breakout room presentations up to a 120-inch display. The TV Floor Stand is specified for 32–85-inch screens up to 132 lb; a larger display needs a support rated for it, which can be requested with the quote, subject to availability.
  • Wireless Screen Casters: wireless casting from laptops, tablets, or phones, so presenters walk on stage without cables.

Delivery, setup and an on-site technician are scoped and quoted to your event. With a technician booked, cable management, signal testing, and brightness calibration are handled on site. You can also pick up smaller items yourself from our South San Francisco warehouse.

How to Pick the Right Screen Size for Your Event

Screen size isn't a guessing game. It's driven by three factors: venue dimensions, audience distance, and content type. Plan around them, then walk the room and check sightlines from the front, back and sides, since columns, low ceilings and steep viewing angles can still block or distort the view. A wall that is too small for the room leaves the back rows struggling to read it.

Corporate Conferences and Galas

For ballroom-style events, size the wall so it carries presentation slides, speaker video, and sponsor branding without overwhelming the stage. For reference, our documented keynote stages used a 3m × 10m wall at the Hyatt Regency San Francisco Downtown SOMA and a 4m × 12m wall at the Grand Hyatt San Francisco. Check the stage footprint and ceiling height of your room before you settle on a size.

Trade Show Booths

Trade show booths run tight on space. A modest modular wall or a foldable LED screen can fit at the back of a booth where it is visible from the aisle without blocking foot traffic. Check the show's exhibitor manual for height limits and power first.

Concerts and Outdoor Events

Large crowds need large screens, and our configurable walls go up to 48 m². For any outdoor or semi-outdoor setting, tell us up front: daylight, moisture and wind change what is practical, and we'll confirm which panels suit the event.

Weddings and Intimate Events (43"–85" TVs)

Not every event needs a wall. For weddings, a pair of 75" or 85" LED TVs on floor stands gives you slideshow screens, virtual guest feeds, and menu displays without the setup of a full panel wall.

Indoor vs. Outdoor LED Panels: What to Check

Not all LED panels work in all environments. Before you book, ask for these specs on the exact panels you'll get:

SpecificationWhy it mattersWhat to ask
Pixel pitchSmaller pitch means a sharper image up closeHow close will the front row be?
Brightness (nits)Daylight and bright rooms need moreIs the panel bright enough for the light in this venue?
Weather rating (IP)Only rated panels should see rain or dampIs this panel rated for outdoor use?
Weight and supportDecides ground support vs. riggingWhat does the wall weigh, and how will it be supported?
Power drawDecides circuits or a generatorWhat power does this wall size need?

Why this matters: Bay Area weather can change over the course of an evening, and fog and damp are common near the coast. If you're planning any outdoor or semi-outdoor event (tented patios, warehouse loading docks with open doors, rooftop terraces), make sure the panels are rated for it. Indoor panels aren't built for weather exposure.

Tell us whether the event is indoors or out and we'll confirm which panels suit it. If you're unsure, send us your venue address and details of the space.

Branding, Sponsorship, and Real-Time Content on LED Walls

A video wall can do more than show slides. For corporate events it can carry rotating sponsor content; for product launches it can bring together live demos, product specs, social media feeds and audience-response tools. Here are some ways event planners use rented LED screens.

Rotating Sponsor Loops

Alongside or instead of printed banners, an LED wall can display rotating sponsor content: logo animations, product highlights, short videos. If you sell sponsorships, screen time on the wall can be one of the benefits you offer.

Live Social Media Walls

Connect your event's branded hashtag to a social wall feed displayed on the LED screen during breaks and networking sessions. It can give attendees a reason to post and show remote followers what is happening at the event; moderate the feed before it goes on screen.

Live Polling and Q&A

Pair the LED wall with an audience response tool like Slido or Mentimeter. Attendees submit questions or poll responses from their phones, and the results appear on the big screen for the moderator and audience to see.

Multi-Feed Display During Breakouts

For multi-track conferences, the wall in the main hall can display a "Now Playing" grid showing which sessions are happening in each breakout room, with speaker photos and session titles. It gives attendees one place to check what is on and where.

Technical Setup: What Happens Behind the Scenes

You rent an LED wall. What happens next? Here's the typical sequence for a Bay Area installation.

1. Venue Details (Before the Event)

We need accurate venue information from you: load-in access, power supply, stage depth, rigging points and timing windows. If your venue requires house or union labor for some tasks, find out early so setup isn't delayed.

2. Content Check (Before the Event)

Get your video files, slide decks, and graphics ready early, in the resolution and aspect ratio of the wall you're renting, and test them before event day so a codec or aspect-ratio problem doesn't turn into a scramble at load-in.

3. Load-In and Assembly (Event Day)

Setup time depends on wall size; our team needs a minimum of 2 hours for standard setups, and large productions take longer. The panels lock together in a modular grid, then the crew runs signal tests, calibrates brightness and color balance, and confirms content cues with your A/V tech or event producer.

4. On-Site Technician (During Event)

If you book a technician, they stay through your event to monitor the wall, switch content on cue, troubleshoot signal problems, and adjust brightness if lighting conditions change (especially in windowed or outdoor venues).

5. Strike and Load-Out (Post-Event)

After the event the wall comes down and is packed out. Venues may set load-out windows (hotels with shared freight elevators, for example), so share yours with us when you book and we'll build it into the plan.

LED Screen Rental Cost Breakdown

Delivery, setup, technician services and overtime are scoped and quoted to your event, and multi-item packages are quoted per project. A non-refundable 25% deposit secures the booking.

Bay Area Venue-Specific Notes

Certain venues have quirks that affect LED wall setup:

  • Convention centers: Many require house or union labor for rigging and power distribution, and load-in runs through designated docks with advance credentials. Check the rules early and budget for any required labor.
  • SF hotel ballrooms: Many have in-house A/V providers, some with exclusive rights to certain equipment categories. Verify that outside LED rentals are allowed before booking, and compare the in-house quote with outside rentals.
  • Outdoor events and parks: Power is limited. Size generators to the wall's power draw, and check the park permit's generator and noise rules.
  • Corporate campuses: Expect vendor paperwork such as insurance certificates and crew details. Ask for the requirements early and start the paperwork well before your event date.

LED Screen Rental in Sunnyvale, Hayward, Berkeley and Oakland

VENEGEEST delivers from its South San Francisco warehouse to San Francisco, San Jose and the South Bay, and the wider Bay Area, and the catalog prices are the same wherever the event is: the P1.9–3.9 LED Rental Screen from $200, LED TVs from $35 and the Foldable LED Ad Screen from $200. Delivery, setup and a technician are quoted for your venue.

  • Sunnyvale and the South Bay: Sunnyvale is in Santa Clara County, part of the South Bay area we serve. Our LED screen rental Sunnyvale guide covers venue questions and sizing there, and our LED wall rental San Jose page covers San Jose.
  • Hayward, Berkeley and Oakland: all three are Alameda County cities in the East Bay, within the wider Bay Area we deliver to. For East Bay events beyond the screen itself, see our Oakland AV rental guide.

Whatever the city, the questions above decide the quote: indoor or outdoor, the wall size and viewing distance, load-in access and hours, and the power available at the wall's position. Send the venue address with your quote request so delivery and setup can be priced for it.

FAQ: LED Screen and Video Wall Rentals in the Bay Area

How far in advance should I book an LED screen rental?

Same-week delivery is available for most items, and availability is confirmed for your date when you request a quote. Leave time to settle venue access, design and setup coordination before load-in.

Can I use an LED wall outdoors in the Bay Area fog?

Only with panels rated for outdoor use. Indoor panels are not built for moisture exposure. Always say "outdoor" when you request a quote for any open-air or semi-covered venue, and we'll confirm which panels suit it.

What's the difference between pixel pitch (P1.9 vs. P3.9)?

Pixel pitch is the distance between the centers of neighboring pixels, measured in millimeters. A smaller pitch gives a sharper image at close range. P1.9 is a fine pitch suited to conferences where attendees sit close to the screen; P3.9 is coarser and suits stages where the audience is farther back. Finer pitch packs more LEDs into each square meter.

Do I need a technician on-site or can my A/V team run the LED wall?

If your A/V team doesn't have LED wall experience (signal routing, panel calibration, playback), budget for an on-site tech. An LED wall involves more setup than a TV. A technician troubleshoots signal loss, color drift, or a failed module during the event so your team can focus on running the show. Technician time is scoped and quoted to your event.

Can I display live video feeds (cameras, Zoom calls) on an LED wall?

Yes, with the right switching between your sources and the wall. This is common at hybrid conferences where remote speakers appear on the wall alongside in-person presenters. Tell us your input sources when you book (laptop HDMI, camera feeds, video calls) so the signal chain can be planned and quoted.

What happens if a panel fails during my event?

Modular walls are built from individual panels and modules, so a failed module can often be swapped without rebuilding the whole wall, which is one reason to have a technician on site. Ask when you book what spares will be on hand for your configuration. In the event of a malfunction during your rental, we make every reasonable effort to provide a replacement.
