AV Rental Cost SF: Pricing Guide
VENEGEEST's published AV rental day rates in San Francisco, how delivery and crew are quoted, and three event budgets built from real prices.
AV rental in San Francisco is priced per item per day, and the individual-item day rates VENEGEEST publishes range from $10 to $400: a Commercial PA Speaker is $200, a Bluetooth Speaker System with two mics is $60, LED TV displays run $35 to $120 by size, and the LED Rental Screen is listed from $200. Delivery, setup and technicians are scoped and quoted to your event. This guide lays out the published rates, what the terms include, and how three event sizes add up.
Pricing by Equipment Type: Sound, Screens, Lighting and Effects
Understanding AV rental costs starts with the equipment itself. These are VENEGEEST's published day rates; many variants in the catalog (moving-head models, battery uplights, lighting consoles, CO2 jets, bulk effects) carry no published price and are quoted per event.

A few things this table does not show. Video projectors, subwoofers, standalone mixers and other items beyond the listed catalog are available on request, subject to availability; contact us for a quote. The Bluetooth Speaker System includes its own two mics. Cold spark machines run on titanium spark powder, which California's Health and Safety Code section 12505 treats as a dangerous-fireworks ingredient in finer grades, and some fire authorities do not allow the machines at all, so check with the venue and your local fire authority before you budget for one. When VENEGEEST's crew operates the machines, VENEGEEST holds the operating permits; if you rent them and operate them yourself, that responsibility, including the liability, is yours.
Package Deals: How Bundles Are Quoted
Renting sound, screens, lighting and staging from one company means one delivery and one crew coordinating the setup instead of several vendors working around each other on site. Under our rental terms, multi-item custom packages are quoted on a per-project basis: send the venue, dates, guest count and run of show, and the quote lists each item's rate alongside delivery, setup and any technician time. VENEGEEST designs each solution around the event's scenario and requirements, so there is no fixed "ballroom package" price: a 150-person keynote in a hotel ballroom and a 150-person backyard party need different gear.
Where bundling does save money is in time. A daily rate covers a 24-hour rental period from delivery or pickup, and rentals of 5 or more consecutive days get a discounted weekly rate, which helps multi-day conferences and trade shows. If you can collect and return the gear yourself, self-pickup from our South San Francisco warehouse during business hours avoids the delivery line entirely (a valid ID and signed rental agreement are required at pickup).

What Your AV Rental Rate Covers
The equipment rate covers the equipment. At VENEGEEST, delivery, setup, technician services and any overtime are scoped and quoted to your event, case by case. Our team needs a minimum of 2 hours for standard setups, and large productions may need more. Pre-rental inspections are done on every item, and if something malfunctions during your rental we make every reasonable effort to provide a replacement.
What the client is responsible for matters just as much. From delivery or pickup until return, the equipment is in your care: use it as instructed, keep it dry and secure, report malfunctions immediately, and return every cable, accessory and case. Damaged or incomplete returns are charged at repair or replacement cost. The client also provides accurate venue details (load-in access, power supply and timing windows) and secures any venue-specific permits or approvals. Event insurance that covers rented equipment against theft, damage and loss is strongly encouraged. Always verify specifics so there are no last-minute surprises—the more detailed your quote, the fewer headaches on event day.
Hidden Costs and How to Avoid Them
The base price you see advertised for AV rental doesn't always tell the whole story. Common add-ons include after-hours delivery or pickup, additional labor for large events, and overtime. Long cable runs or unusual venue layouts can require extra equipment and crew. Under our terms, delays caused by venue restrictions, third-party vendors or incomplete information may result in additional labor charges, so the cheapest fix is information: send the load-in route, power locations and the venue's timing windows before the quote, not on the day.
Timing costs money too. A non-refundable 25% deposit secures the booking, the balance is due 3 business days before the event, and changes to the order must reach us at least 5 business days before the event. Cancellation refunds step down as the date approaches: a full refund (minus deposit) 14 or more days before the event, a 50% refund (minus deposit) at 7–13 days, a 25% refund (minus deposit) at 3–6 days, and no refund inside 3 days. Late payments may incur 1.5% per month on the outstanding balance. Always get a line-item quote and ask about overtime and damage charges before you sign.

Budget Examples: Three SF Event Sizes
The examples below add up published catalog day rates for three common event sizes. They are equipment-only, one-day totals; delivery, setup and technician time are scoped and quoted for your venue, and your own gear list may differ.
What does a small event (50–75 guests) cost in equipment?
For a loft, gallery or backyard with welcome remarks, a toast and background music, the goal is clean speech and a little atmosphere. A Bluetooth Speaker System ($60) spreads six speakers around the room and includes two mics; four Full-Color LED Par Lights ($100) wash a brick wall or drape; a 65″ LED TV Display ($55) on a floor stand ($20) with a Wireless Screen Caster ($60) runs a slideshow. That comes to $295 per day in equipment. Treat it as an illustrative shopping list: the catalog lists what the Bluetooth system includes, not its output or audience capacity, so check the room size, the crowd and whether there will be dancing against the specifications for your quote before choosing between it and a Commercial PA Speaker.
- Bluetooth Speaker System (1 controller + 6 speakers + 2 mics): $60
- 4 × Full-Color LED Par Light: $100
- 65″ LED TV Display + TV Floor Stand + Wireless Screen Caster: $135
- Equipment total: $295/day, plus quoted delivery and setup (or self-pickup)
What does a mid-size event (150–200 guests) cost in equipment?
Corporate holiday parties, product launches and wedding receptions at this size usually want speech and dance music, a screen for slides or a slideshow, and lighting that defines the room. As an illustrative shopping list: two Commercial PA Speakers ($400) for the main sound, two 85″ LED TV Displays ($190) on floor stands ($40) with a Wireless Screen Caster ($60) for slides, and eight Full-Color LED Pars ($200), two 380W Beam Moving Heads ($100) and a Haze Machine ($25) for color and movement. Equipment comes to $1,015 per day. Whether two speakers cover your room, where the displays can sit with clear sightlines, and how the second display will be fed from the same source (cabling or extra hardware) all depend on the venue and your content, so confirm them with us before treating this list as final. At this size, a technician on site is worth including in the quote request.
- Audio: 2 × Commercial PA Speaker, $400
- Display: 2 × 85″ LED TV Display, 2 × TV Floor Stand, Wireless Screen Caster, $290
- Lighting: 8 × Full-Color LED Par, 2 × 380W Beam Moving Head, Haze Machine, $325
- Delivery, setup and technician time: quoted for your venue
What changes for a large production (300+ guests)?
One configuration to discuss for keynotes, galas and conferences at this scale is an LED wall, if the venue, content and sightlines suit it. The P1.9–3.9 LED Rental Screen configures from 12 m² to 48 m² and is listed from $200; add Commercial PA Speakers ($200 each) for coverage, COB Front Lights ($35 each) so presenters' faces read on camera, a Followspot Light ($80), Portable Stage Platforms (listed at $30) and truss (listed at $10). A lighting console from the grandMA2, Avolites or Quartz tiers is quoted. For a sense of scale, our documented jobs include a 3m × 10m LED video wall with 12 conference fixtures and a complete conference sound system at the Hyatt Regency San Francisco Downtown SOMA, and a 4m × 12m LED wall with 16 stage fixtures and a full front-of-house system at the Grand Hyatt San Francisco. Productions like these are always quoted per project from the run of show. See our AV equipment rental San Francisco page for how a full production comes together.
