AV Equipment Rental for Oakland and East Bay Events

Yes, VENEGEEST rents AV equipment for events in Oakland and the rest of the East Bay. We're based at 436 N Canal St in South San Francisco, and same-week delivery is available across the Bay Area for most items. We design a custom solution around each event's scenario and requirements: sound, LED screens and TVs, stage lighting, staging and special effects can all come on one order, with delivery, setup and technicians scoped and quoted to your event.

This page covers what you can rent, what the listed prices are, how delivery and self-pickup work under our rental terms, and the power questions worth asking before you book a warehouse, hall or outdoor site on the east side of the bridge. If you already know what you need, the fastest route is a quote request with the venue address, the date, the load-in window and a rough equipment list.

What You Can Rent for an Oakland or Berkeley Event

The catalog is organized around four jobs: sound, video, light and effects. These are the per-day starting prices listed on the site (a day rate covers 24 hours from delivery or pickup):

Multi-item packages are quoted per project, so a full list sent up front usually gets a clearer price than item-by-item requests. Projectors, audio mixing consoles and video switchers are available on request, subject to availability; contact us for a quote (the lighting control consoles in the catalog are for lights, not sound). If your program needs any of them, include them in the quote request so the LED wall, lighting and sound are specified around them.

How Delivery, Setup and Pickup Work in the East Bay

East Bay orders run on the same rental terms as every other booking. The points that matter most for planning:

  • Delivery, setup and technicians are quoted to your event. Delivery, setup, technician services and any overtime are scoped and quoted to your event.
  • Self-pickup is allowed. You can collect equipment from the South San Francisco warehouse during business hours and return it there. Bring a valid ID; a signed rental agreement is required at pickup.
  • Setup time. Our team needs a minimum of two hours for a standard setup, and large productions need more. Build that into the venue's load-in window, and remember that delivery from South San Francisco to the East Bay can run into bridge and freeway traffic, so give the delivery window some slack.
  • Venue details. Accurate load-in access, power supply and timing windows are the client's to provide, and so are any venue-specific permits or approvals. Delays caused by venue restrictions or missing information can add labor charges.
  • Booking. A booking is confirmed in writing. A non-refundable 25% deposit secures it, the balance is due three business days before the event, and changes need five business days' notice.
  • Longer rentals. Weekly rates apply from five consecutive days, which helps for multi-day conferences or exhibitions.

Cancellation refunds step down as the date approaches: a full refund minus the deposit at 14 or more days out, a 50% refund minus the deposit at 7 to 13 days, a 25% refund minus the deposit at 3 to 6 days, and no refund inside three days. The full wording is on the rental terms page.

Power Questions to Ask Before You Book an East Bay Venue

Many East Bay events land in converted warehouses, lodge halls, community centers, parks and backyards, so ask the venue about power. Ask these questions before you finalize the equipment list:

  • How many separate circuits reach the stage and the screen position? The standard North American outlet (NEMA 5-15) is rated at 15 amps, and 20-amp outlets (NEMA 5-20) are the other common type. At roughly 120 volts that is about 1,800 watts on a 15-amp circuit and about 2,400 watts on a 20-amp one, shared by everything plugged into that circuit.
  • What else is on those circuits? Catering equipment, bar refrigeration and house lighting often share circuits with the outlets near a stage. Ask the venue which outlets are on their own breaker.
  • How far is the nearest outlet from where the gear will sit? Long cable runs across a dance floor or a lawn need cable covers and a plan for where people walk.
  • Is there any power at all outdoors? Lawns, parks and some rooftops have none. An outdoor site without power will likely need a generator sized to the equipment list, plus whatever the site's permit allows; plan it with the venue or a power vendor.

One catalog choice reduces the power problem. Wireless battery uplights run from their own batteries, so perimeter lighting needs no cable runs during the event. Send us the equipment list with the venue's answers, and we'll flag anything that looks tight on power before the day.

Effects and Venue Rules in the East Bay

Haze, dry-ice low fog, bubbles and confetti all need a word with the venue first: ask how the building's smoke detection is handled and whether the venue restricts effects that leave residue on its floors. Cold spark machines need more than a word. California Health and Safety Code section 12505 classifies ignitable titanium and zirconium spark material as Dangerous Fireworks, and Central County Fire, for one, prohibits cold spark devices in Burlingame, Millbrae and Hillsborough. The same fire authority notes that the heat from cold sparks can still ignite nearby materials. Before you plan a spark moment in Oakland, Berkeley or anywhere else, check with the venue and the local fire authority.

Where Our Documented Work Has Been

The jobs published on our site so far are in San Francisco and the South Bay: a 3m × 10m LED video wall, conference lighting and sound at the Hyatt Regency San Francisco Downtown SOMA; LED displays, lighting and three independent sound systems across three venues for HYSTA's 26th anniversary conference at the Santa Clara Convention Center; and a 4m × 12m LED wall with stage lighting and a full front-of-house system at the Grand Hyatt San Francisco. For an East Bay booking, the equipment, the terms and the crew are the same; the difference is the drive and the venue's power.

FAQ: AV Rental in Oakland and the East Bay

Do you deliver AV equipment to Oakland and Berkeley?

What AV equipment can I rent for an East Bay event?

PA speakers, a Bluetooth speaker system with two mics, LED rental screens, foldable LED screens, LED TVs from 43″ to 120″, stage and effect lighting, portable staging, truss, a lift scaffold, haze, low fog, bubble and cold spark machines, and an interactive photo booth. Projectors, audio mixing consoles, video switchers and other items beyond the listed catalog are available on request, subject to availability; contact us for a quote.

How is setup priced?

Setup is scoped and quoted to your event. Delivery, setup, technician services and any overtime are all quoted to your event's requirements, and a standard setup takes our team at least two hours.

How far ahead should I book?

Same-week delivery is available across the Bay Area for most items, and availability is confirmed for your date when you request a quote. A booking is secured with a non-refundable 25% deposit once you have a written confirmation.

Can I use cold sparks at an East Bay venue?

Only if the venue and the local fire authority allow it. California classifies titanium and zirconium spark material as Dangerous Fireworks, and some Bay Area fire authorities prohibit cold spark devices outright. Check with both before you plan the effect.
